our frequently asked questions concerning renting our facility for
your special event.

What
will it cost me to rent the clubhouse?
Peak season (May 15 – Oct. 15) $1200
Off-peak: Rates vary depending on the nature of the event. Please
call us!
How do I reserve the facility?
After viewing the facility at
352 Bird Farm Road, and checking for availability, you will
need to send a nonrefundable $500 deposit check made payable to BHEC,
and sign our use agreement, which will hold your date. Please keep
in mind that some events are booked up to one year in advance!
After I book the facility
for my specific date, what’s next?
We want to get to know you better! Please schedule an appointment
one month prior to your event. At this time, the remaining balance
is due and your bar needs are established.
What about the bar?
You must purchase any alcoholic beverages through our WY Liquor
license. We can set up your bar in several different ways to accommodate
a variety of budgets…let’s talk!
What does the rental fee
include?
Your rental fee allows you to host your event privately for a period
of 24 hours commencing at 9:00 a.m. This fee also allows us to provide
bar staff for your event.
Does
the BHEC have tables and chairs available for my event?
The BHEC has four or five outdoor wrought iron tables and matching
chairs. We have some rustic indoor furniture that is great for setting
up buffets. We can direct you to locally owned party rentals for
additional tables, chairs, and tents.
Do you have an on-site caterer?
We do not have an on-site caterer. We allow individuals to hire
whomever they prefer to cater their event. We would be glad to make
recommendations for you.
Are there specific guidelines
regarding the set up of my event?
Yes, thanks for asking! To minimize noise impact, we insist that
speakers face west, away from the surrounding homeowners. We prefer
bands and DJs to set up inside the clubhouse in the large room…the
floors were made for dancing! Also, please remember that all events
must end by midnight.
Can I decorate?
We encourage you to visit with the BHEC director to discuss ideas
for decorating. Please remember that this is Wyoming and expect
some breezes or wind: Keep the flower vases low, consider table
linen weights, tiki torches are a fun way to add some candlelight,
and battery operated candles stay lit in any kind of weather. Take
advantage of the great views, but be mindful of the sun’s rays.
Food served outdoors may require an insect screen.
